The Nominating Committee of Pimmit Hills Citizens Association is looking for a few good people who are interested in guiding the association into the future. We are charged with:
- Asking the current officers if they are willing to be re-nominated;
- Calling for nominations to all offices so that we get a sense of the breadth of candidates; and
- Retaining names of candidates to consider for membership and leadership positions on PHCA Committees.
Below are the descriptions of the work of the offices for which we seek nominations.
We need to formulate the list of candidates to publish on April 10th, so we are asking that you let us know of your interest in running for office preferably by the 1st of April but no later than the 8th of April. You can indicate your interest by emailing us at

2016 PHCA Elections
The PHCA Nominating Procedure/Rules for PHCA
- The Nominating Committee shall recommend one or more eligible candidates for each office or directorship to be filled. The report of the recommendations of the committee shall be presented to the membership at least thirty (30) days prior to the annual May meeting of the corporation.
- Nominations for Officer or Director shall not be limited to those individuals recommended by the Nominating Committee, but shall be available to all the members until a motion is made, seconded, and approved at the annual membership meeting to close the nominations for officers.
- Members of the Nominating Committee may not nominate themselves, but may be nominated from the floor by other members of the Association.
The description of the positions for which we seek nominations are:
President
- The PHCA President shall run the meetings of the Pimmit Hills Citizens Association and lead the organization.
- Either the President or the Vice President shall be a delegate of the corporation to all federations, organizations, or conferences of civic groups to which the corporation belongs or decides to send representatives.
- The President of the Association shall concurrently serve as the Chairman of the Board of Directors.
- Special meetings of the Board may be called on not less than 24 hours notice by the Chairman, and shall be called by the Chairman upon written petition of three members of the Board of Directors.
Vice President
- The Vice President shall preside at all meetings in the absence of the President.
- In case of resignation, death or disability of the President, the Vice President shall become President for the unexpired term, or during the duration of the disability.
- Either the President or the Vice President shall be a delegate of the corporation to all federations, organizations, or conferences of civic groups to which the corporation belongs or decides to send representatives.
Treasurer
- The Treasurer shall maintain records in accordance with generally accepted accounting principles.
- At the June meeting, he/she shall submit an accounting of all income and disbursements for the preceding twelve months.
- The Treasurer shall collect and deposit all Association monies in a local Virginia bank that is a member of the FDIC.
- The annual budget shall be submitted by the Treasurer, at the September meeting of the corporation, for the approval of the membership.
Secretary
The Secretary shall:
- Keep minutes of the membership minutes.
- Keep a roll of the officers, directors, committee members and members in good standing.
- Cause to be published official notices.
- Gather and preserve all written records.
- Make all records of the corporation available to any member upon reasonable demand.
- The Secretary of the Association shall concurrently serve as the Secretary of the Board of Directors.
- The Secretary shall record the minutes of the meetings of the Board of Directors and make these minutes available at the next Membership meeting after the Board meeting.
